Executive Assistant to the Provost
Posted: 10/12/2025The Executive Assistant provides proactive administrative support to the Provost. Serve as the primary contact for the Office of the Provost, fostering a cordial and professional atmosphere for faculty, staff, students, and guests. Work cooperatively with a variety of areas across the institution.
This is a full time, benefits eligible, hourly position with a hiring range of $28.14-$35.19 per hour.
Core Responsibilities:- Provide efficient administrative support to the Provost and Associate Provosts by prioritizing contact with and managing the day-to-day operations of the office including scheduling meetings, maintaining schedules, organizing and preparing materials and agendas, drafting correspondence and minutes. Work with other senior administrative support staff to coordinate meetings and mutual work.
- Make travel arrangements for the Provost, and prepare and submit related expense reports, maintaining appropriate records, as needed.
- Provide administrative support for the groups and committees that the Provost leads or participates in. Take and maintain minutes for the Strategy & Programs Committee of the Board of Trustees.
- Work with the Director of Finance and Operations and Associate Provost on project management and assessment of strategic initiatives.
- Maintain materials and documents for the office. Manage associated web pages.
- Provide administrative and logistical support for the Middlebury chapter of Phi Beta Kappa. This includes working with the chapter secretary and service providers to put on two induction ceremonies each year, as well as, ordering certificates and supplies
- Manage the nomination processes for Honorary Degree recipients and Commencement speaker.
- Organize, plan, and run special events, as needed
- Bachelor’s degree or related experience required.
- 3-5 years of administrative experience, preferably in higher education.
- Exceptional ability with Outlook Calendar, Word, Excel, Teams, OneDrive, and PowerPoint, and Google Docs and Sheets required. Experience with Oracle Finance desired. Web page editing, using Drupal, desired. Familiarity with Raiser’s Edge NXT and Basecamp helpful, but not required.
- Must have the ability to handle confidential matters and information with discretion and tact.
- Must have excellent communication, organizational, and interpersonal skills and a willingness to step in where necessary.
- Must have the ability to juggle multiple tasks in a fast-paced environment, working both collaboratively and independently, while managing conflicting priorities.
- Familiarity with the structure and governance of Middlebury and its processes a plus.
- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
