    MAJOR DUTIES AND RESPONSIBILITIES: 

    • Types business letters, memorandums, reports, charts, etc. on a personal computer.
    • Composes and prepares routine correspondence for signature.
    • Receives, reviews and verifies documents, records, and forms for accuracy, completeness, and compliance.
    • Gathers, reviews, and compiles information and prepares accurate and comprehensive reports.
    • Establishes and maintains confidential files and records.
    • Maintains calendar and schedules appointments; sends/receives incoming and outgoing mail and faxes; and follow-ups on dates for action items.
    • Attends departmental meetings; takes notes and prepares/distributes meeting minutes.
    • Screens phone calls and greet visitors.
    • Arrange, coordinate and format all center plans and reports to ensure accuracy and consistency within the document.
    • Ensures that all center plans, COP’s, and SOP’s are correct, consistently reviewed/updated, and submitted in a timely manner.
    • Operates as Chair of OMS meetings; responsible for the training of OMS team members, analyzing OMS information, reviewing CIS and JCRL Reports on a daily basis.
    • Conduct monthly analysis of student employee separations, identifying trends and upcoming projection needs.
    • Conduct quarterly all-staff training to review OMS, CIS, and JCRL Reports.
    • Consistently monitor the center’s outstanding SIR’s as well as maintain a SIR log to ensure follow-up is consistent and within the appropriate time frame.
    • Follow-up with members of the Senior Management Team on action items, deliverables, and other miscellaneous information. Ensure that all necessary correspondence and requested information are completed in a timely manner.
    • Arranges, coordinates, and formats all departmental corrective action plans when plans are required.
    SKILLS/COMPETENCIES:
    • Strong organizational and time management skills
    • Ability to generate standard business letters, forms, contracts, proposals, presentations, etc.
    • Strong understanding of and ability to use internet search engines
    • Excellent interpersonal skills; excellent communication skills both verbal and written
    • Ability to handle multiple tasks
    • Proficient in the use of computer software such as MSWord, Excel, Power Point, Desktop Publishing, Outlook, etc.
    • Ability to operate office equipment
